How to import a PDF bank statement into QuickBooks
QuickBooks can't take a PDF statement through its CSV upload, bank feeds don't always reach back far enough, and some banks never connect at all. The fix is to turn the PDF into a CSV in the layout QuickBooks expects. This guide covers the layout, the upload and the errors that stop most imports.
When you need this
- You're catching up on months before the bank feed started.
- Your bank, credit union or card isn't available as a bank feed.
- The account is closed, and the PDFs are all you have.
- A client only sends PDF statements at year end.
The layout QuickBooks Online accepts
QuickBooks Online reads a CSV with either three or four columns. The three-column layout is the one that causes the fewest mistakes.
| Layout | Columns | How amounts are written |
|---|---|---|
| 3 columns (recommended) | Date, Description, Amount | Money out negative (-84.60), money in positive (1200.00) |
| 4 columns | Date, Description, plus two amount columns | Out and in in separate columns, the other one left empty |
Export the right CSV
Export each statement on its own for this. The combined multi-file export adds extra columns (source file, bank, review status) that accounting imports don't expect.
- Convert the statement and work through the review until the balance check passes or each flag is explained.
- Open Export, choose CSV, and set the amount layout to Amount (one signed column).
- Turn off Balance and Source page — extra columns are a common reason QuickBooks rejects a file.
- Keep the comma delimiter and download the file.
Upload it to QuickBooks Online
- In QuickBooks Online, open Banking (Transactions › Bank transactions in newer menus).
- Choose Upload transactions or Upload from file — the exact label depends on your QuickBooks version and region.
- Select the CSV, then pick the QuickBooks account it belongs to. Use the credit card account for card statements.
- Map the columns: Date → Date, Description → Description, Amount → Amount, and choose the one-column amount option.
- Pick the date format that matches the file (YYYY-MM-DD). If your version doesn't offer it, see the date fix below.
- Review the preview, untick anything you don't want, and finish. The transactions appear in For review, where you categorise and add them.
Fixing the errors people hit most
| What you see | Likely cause | Fix |
|---|---|---|
| Dates rejected or in the wrong month | The date format chosen in mapping doesn't match the file | Choose YYYY-MM-DD. If it isn't listed, open the CSV in Excel, format the Date column as Short Date, and save as CSV. |
| Money out imported as money in | Wrong amount option or a 4-column file mapped the wrong way round | Use the single signed Amount layout and check one known payment after the preview. |
| The file isn't accepted | Extra columns, a total row or a title above the header | Export only Date, Description and Amount. Our files have one header row and no totals. |
| Amounts aren't recognised | Currency symbols or thousands separators | Our CSV writes plain decimals like 1234.56. If you edited it in Excel, set the column format to General before saving. |
| Can't choose the account | Uploading into a sub-account isn't supported in QuickBooks Online | Import into the parent account or enter those transactions manually. |
| Duplicates after import | The period overlaps your bank feed | Only convert or import statements dated before the feed's first transaction. |
QuickBooks Desktop
QuickBooks Desktop doesn't read PDF statements either. Its bank feeds use QBO (Web Connect) files, which this tool doesn't create. You can still use the Excel or CSV export with Desktop's own import options or with a CSV-to-QBO converter.
Doesn't QuickBooks read PDFs itself now?
QuickBooks Online has started offering PDF and image statement uploads in some regions. If that works for your statement, use it. Converting first is still useful when you want to check every row against the statement balances, combine several months, or keep the same file for Excel or another app.
