HSBC UK's transaction download vs converting the PDF statement

OptionWhat you getWatch out for
Online banking transaction downloadTransactions from the account's list in a format you choose, such as Excel (xls) or CSV, filtered by date range, amount or keywordBuilt from the live transaction list, so it won't line up exactly with statement periods and has no opening or closing balance. Not offered from the statements page.
PDF statement + converterEvery transaction from the official statement in XLSX or CSV, with the source page for each row and totals checked against the opening and closing balances5 free pages a day; more pages need a paid pack (from $5 for 30). No QBO or OFX output.

Use the online banking download for a quick look at recent activity. Use the PDF statement when the numbers need to match the statement your bank, lender or accountant sees, or for months you can no longer pull from the transaction list.

What HSBC UK statements look like

  • The columns are Date, Payment type and details, Paid out, Paid in and Balance, so money out and money in are in separate columns.
  • Dates are printed as day, short month and two-digit year (for example 02 Apr 24), and only once per day. Later transactions on the same day have a blank date.
  • The balance is not printed on every row. It usually appears only at the end of a day's group of transactions, so you can't check each line against a running balance.
  • Each statement opens with BALANCE BROUGHT FORWARD and closes with BALANCE CARRIED FORWARD, and these rows also appear at page breaks. They are not transactions.
  • A single transaction often spans several lines: a type code such as DD, BP, CR or DR with a reference, then the payee name, then further detail. Payee names can be cut short.

Tips for converting HSBC UK statements

  • Delete the BALANCE BROUGHT FORWARD and BALANCE CARRIED FORWARD rows, including the ones at page breaks, before importing.
  • Fill blank dates down from the row above so every transaction has a date.
  • Use the summary box (Opening Balance, Payments In, Payments Out, Closing Balance) to check your spreadsheet: your Paid in and Paid out totals should match it exactly.
  • Keep the type code (DD, BP, CR and so on) in its own column if you can. It makes categorising direct debits and transfers much faster.

Every extracted row sits next to the page it came from, and the totals are checked against the opening and closing balances printed on the statement. This example uses made-up data, not a real HSBC UK statement.

HSBC UK statement questions

Can I download HSBC UK statements as Excel or CSV?

Statements download as PDFs. You can download transactions as Excel or CSV from the transaction list in online banking (search, then Download at the bottom of the list), but that file is not a statement.

How far back can I get HSBC UK statements?

Up to 6 years in online banking and the app. For a printed statement, use Chat, telephone banking or a branch.

Why don't my HSBC CSV totals match my statement?

The download comes from the live transaction list rather than the statement, so the date range and items may not line up with the statement period. Use the PDF statement when the figures must match.

Why is the balance missing on some HSBC statement lines?

HSBC prints the balance at the end of each day's transactions rather than on every line. Check your converted totals against the opening and closing balances instead.

What do DD and CR mean on an HSBC statement?

They are transaction type codes printed at the start of the description: DD is a direct debit and CR is a credit into the account. Other codes, such as BP and DR, appear the same way.
