Capital One says you can view up to 7 years of statements online for active accounts. For checking and savings, you need to be enrolled in paperless statements to see them online. The transaction list on the website shows only the past two years of activity, so for anything older, use the statements.
Menu names change from time to time. If a step doesn't match, look for Statements or Documents in your account menu.
Capital One's transaction download vs converting the PDF
| Option | What you get | Watch out for |
|---|---|---|
| Capital One transaction download (CSV, plus Quicken and QuickBooks files for many accounts) | Recent transactions for a date range you choose; CSV opens in Excel | Limited to the activity Capital One still shows online (about two years on the website); format choices vary by account type |
| PDF statement converted with bankstatementconverters.net | XLSX or CSV with Money out / Money in or one signed Amount column, optional Balance and Source page columns, ISO dates; totals checked against the opening and closing balances | 5 free pages a day without an account; no QBO or OFX export |
| PDF statement on its own | The official record, up to 7 years for active accounts | Not a data file; card statements spread activity over several sections and pages |
If the dates you need fall within the last two years, Capital One's download is usually the quickest route. For older periods, or when your rows must reconcile to a specific statement, convert the PDF statements.
What Capital One statements look like
- Credit card statements group activity under "Payments, Credits and Adjustments" and "Transactions", with Trans Date, Post Date, Description and Amount columns, often continuing over several pages as "Transactions (Continued)".
- Card transaction dates are printed as a month abbreviation and day, such as "Aug 6", with no year. The year appears only in the billing period.
- Fees and interest are shown in their own section with a total line, separate from purchases.
- Credits on card statements are marked as negative amounts, while purchases are shown as plain amounts.
- For 360 checking and savings, Capital One automatically combines direct accounts into one statement, so a single PDF can cover several accounts.
Tips for converting Capital One statements
- For a card statement that runs from December into January, check that the December rows get the earlier year after converting, since rows only show month and day.
- Split a combined 360 statement by account before importing, so checking and savings transactions land in the right ledger.
- Import Capital One card data into a credit card account in QuickBooks or Xero, not a bank account, so payments reduce the card balance.
- Savings accounts with no activity may get quarterly rather than monthly statements, so a missing month is not necessarily a gap in your records.

How you check the result
Sample dataEvery extracted row sits next to the page it came from, and the totals are checked against the opening and closing balances printed on the statement. This example uses made-up data, not a real Capital One statement.
